Workspace/Members and roles

Members and roles

Invite your team into a workspace and control what each person can see and change with four roles, from read only viewers to the owner.

Inviting people

Workspace admins invite members by email from the workspace settings. The invite is a single use link that expires if unused. Pending invites count toward your plan's seat limit until they are accepted or revoked, see Plans and limits.

The four roles

RoleWhat it adds
ViewerRead everything: analytics, boards, content. Change nothing.
EditorManage content: knowledge base pages, blog posts, content settings.
AdminSite and workspace management: settings, integrations, members, tracking keys, deleting sites. Can view billing.
OwnerEverything, plus managing billing and transferring sites out of the workspace.

Roles are workspace wide. A member has the same role on every site in the workspace.

Who can do what

The cutoffs that matter in practice:

  • Editing knowledge base pages and blog content needs Editor.
  • Changing site settings, managing integrations, rotating tracking keys, and inviting or removing members needs Admin.
  • Changing the subscription and moving a site to another workspace is Owner only. Admins can see billing but not change it.

Admins can invite people at or below their own level, so an Admin cannot create an Owner.

Multiple workspaces

One account can belong to any number of workspaces, with a different role in each. An agency setup often looks like this: you own your agency workspace, and clients add you as Admin in theirs.
